Start with room intent

A huddle room, training room, boardroom, divisible space, and venue do not use the same architecture. Use case determines display count, camera strategy, microphone type, speaker coverage, and control complexity.

  • Define local presentation, remote conferencing, recording, streaming, paging, or live reinforcement needs.
  • Set the rack location early because it changes extender and cabling requirements.
  • Separate what is user-facing from what is rack-mounted or field-mounted.

Build the signal path before the BOM

The BOM should follow the topology, not the other way around. Draw the sources, switchers, processors, distribution, outputs, network, and control paths before choosing accessories.

Check install reality

Field devices need pathways, ports, power, mounting, and service access. Long HDMI, uncounted USB, missing patch panels, and under-sized switches are common quote killers.

  • Use extenders or AVoIP where table, camera, or display runs exceed practical direct-cable limits.
  • Confirm USB type, speed, and active-extension needs.
  • Make the riser clean enough that every path can be traced by someone who did not build it.
